ATIM Conference Terms of Attendance

Effective date: November 1, 2026

These Terms of Attendance apply to the ATIM 2027 Conference, scheduled for April 7–9, 2027 at the Sheraton Denver Downtown Hotel in Denver, Colorado, and to all official ATIM sessions, receptions, social activities, virtual components, and related events (collectively, the “Conference”).

By registering for, purchasing admission to, or attending the Conference, each attendee agrees to these Terms of Attendance. A purchaser registering another person confirms that the purchaser is authorized to accept these terms for every attendee included in the registration and will provide each attendee with a copy or link to these terms.

1. Registration and Admission

  • Registration information must be complete and accurate. Registration is not complete until payment has been accepted and ATIM issues a confirmation.
  • An official conference badge may be required for admission to sessions and activities. Badges may not be shared or transferred except through an approved substitution.
  • ATIM may refuse or revoke admission when reasonably necessary to protect attendees, enforce these terms, comply with law, or follow venue requirements.
  • Ticket availability, pricing periods, included activities, and capacity limits may vary by registration type.

2. Cancellations, Refunds, and Substitutions

  • Cancellation and refund requests must be submitted in writing to info@atim.org by 11:59 p.m. Mountain Time on March 31, 2027.
  • Approved refunds are subject to a $25 administrative processing fee.
  • No refunds can be granted after March 31, 2027, because ATIM must make binding hotel food-and-beverage commitments. No refunds will be issued for no-shows. A registration described at the time of purchase as non-refundable remains non-refundable.
  • Attendee substitutions may be requested without charge through 5:00 p.m. Mountain Time on April 2, 2027. Substitution requests must include the original registrant’s information and the replacement attendee’s name, title, company, and email address.
  • Separate activities, including the Denver social event, may have additional or different cancellation terms disclosed when those tickets become available.

3. Event Changes, Cancellation, and Force Majeure

ATIM may modify the Conference schedule, speakers, sessions, venue spaces, format, or included activities when reasonably necessary. If circumstances beyond ATIM’s reasonable control materially affect the Conference—including severe weather, natural disaster, public-health emergency, labor disruption, government action, transportation interruption, civil disorder, terrorism, venue unavailability, or another emergency—ATIM may postpone, relocate, modify, or cancel the Conference.

If ATIM cancels the entire Conference and does not reschedule it or provide a substantially equivalent alternative, ATIM will refund the Conference registration fee actually paid. ATIM is not responsible for airfare, hotel charges, ground transportation, lost wages, or other personal or business expenses.

4. Professional Conduct and Respectful Environment

ATIM is committed to a professional, welcoming, and inclusive environment. Attendees must treat others with respect and consideration, value differing viewpoints, avoid personal attacks, and follow reasonable instructions from ATIM staff, board members, venue personnel, and security.

Harassment or discrimination based on race, color, religion, national origin, ancestry, sex, pregnancy, age, disability, genetic information, military or veteran status, marital or family status, gender identity or expression, sexual orientation, or any other characteristic protected by applicable law is prohibited.

5. Prohibited Conduct

Prohibited conduct includes harassment; intimidation; stalking; bullying; unwanted sexual attention; threatening, abusive, or demeaning language; physical violence or threats; deliberate disruption of sessions; unlawful activity; unauthorized access to restricted areas; and intoxication or behavior that creates a safety risk or materially interferes with another person’s participation.

6. Reporting, Enforcement, and Non-Retaliation

Concerns may be reported promptly to an ATIM board member, conference staff member, venue security officer, or by email to info@atim.org. Emergencies should be reported to venue security or 911.

Anyone asked to stop unacceptable behavior is expected to comply immediately. ATIM may take appropriate action, including a warning, removal from an activity, expulsion from the Conference without refund, restrictions on future attendance, or contact with an attendee’s employer or law enforcement when warranted. ATIM prohibits retaliation against anyone who raises a good-faith concern or participates in a review of reported conduct.

7. Safety, Security, and Personal Property

  • Attendees must follow posted safety rules, emergency procedures, badge requirements, health precautions, and venue policies.
  • Alcohol must be consumed responsibly. ATIM may refuse service or remove an attendee whose behavior presents a risk.
  • Attendees are responsible for their belongings. ATIM and the venue are not responsible for lost, stolen, or unattended property except to the extent required by law.

8. Sessions, Recording, and Intellectual Property

Audio recording, video recording, live streaming, or photographing a presentation is not permitted unless the presenter and ATIM expressly allow it. Attendees may take personal notes and may photograph public networking areas respectfully, provided they do not disrupt the event or disregard another person’s request not to be photographed.

Presentation materials and other conference content remain the property of their respective owners. Conference content may not be copied, republished, sold, or used commercially without permission.

9. ATIM Photography and Media

ATIM may photograph, film, or record Conference sessions and activities for archival, educational, news, and promotional purposes. By attending, an attendee grants ATIM permission to use the attendee’s image, likeness, and voice in Conference-related materials without compensation.

An attendee who does not want to appear in identifiable ATIM photographs or recordings should email info@atim.org by March 31, 2027 or notify the registration desk upon arrival. ATIM will provide a reasonable identification method and will make reasonable efforts to honor the request, although incidental appearance in crowd or background images cannot always be prevented.

10. Registration Information, Privacy, and Attendee Lists

ATIM may use registration information to administer the Conference, process payments, provide tickets and communications, plan meals and accommodations, maintain safety and security, and meet legal obligations.

An attendee list may include an attendee’s name, job title, company, and city/state. ATIM will not provide an attendee’s personal email address or phone number to sponsors for their direct marketing without separate permission. Optional marketing or sponsor communications consent will be presented separately from the required acceptance of these terms.

11. Accessibility, Dietary Needs, and Accommodations

ATIM seeks to make the Conference accessible and welcoming. Requests for disability-related accommodations, dietary needs, or other reasonable assistance should be submitted to info@atim.org as early as possible and preferably by March 12, 2027. ATIM will make reasonable efforts to address timely requests.

12. Assumption of Risk and Limitation of Responsibility

Attendance involves ordinary risks associated with travel, large gatherings, food and beverage service, and participation in conference or social activities. Each attendee voluntarily assumes those ordinary risks and is responsible for personal medical, travel, and property insurance as appropriate.

Nothing in these terms excludes or limits liability that cannot lawfully be excluded or limited. To the extent permitted by law, ATIM is not responsible for indirect, incidental, or consequential losses arising from attendance, travel, schedule changes, or the acts of third parties.

13. Updates and Severability

The version of these terms in effect when a registration is completed will govern that registration. ATIM may make reasonable updates before the Conference and will communicate material changes to registered attendees. If any provision is found unenforceable, the remaining provisions will remain in effect to the fullest extent permitted by law.

14. Contact

Questions about these terms, registration, accessibility, or the Conference may be sent to info@atim.org.
